At Octopi Digital LLC, we are committed to delivering high-quality digital services and ensuring client satisfaction. This Refund Policy explains the circumstances under which refunds may be issued, our cancellation process, and the services that are non-refundable.

Scope

This policy applies to all services purchased from Octopi Digital, including web and software development, e-commerce solutions, AI automation, creative design, branding, and digital marketing. Specific terms may also be defined in your individual proposal or service agreement, which takes precedence where applicable.

Eligibility for Refunds

Qualifying Circumstances

Refund requests may be considered if work has not yet commenced on your project, if we are unable to deliver the agreed-upon services, or if there is a material failure to meet the deliverables defined in your service agreement that we are unable to remedy.

Request Window

To be eligible, refund requests must be submitted in writing within 7 days of the relevant payment or milestone. Requests submitted after this window may not qualify for a refund.

Non-Refundable Services

Work Already Performed

Fees for work already completed, hours already billed, and milestones already delivered are non-refundable. This includes design concepts, development sprints, strategy sessions, and any deliverables that have been provided to you.

Third-Party Costs

Costs paid to third parties on your behalf — such as domain registrations, hosting, premium plugins, stock assets, advertising spend, and software licenses — are non-refundable once incurred.

Custom and Completed Projects

Custom-built solutions and fully completed projects that have been delivered and accepted are non-refundable.

Milestone-Based Projects

Billing by Milestone

For projects billed against milestones, each completed and approved milestone is considered delivered and is non-refundable. Refund eligibility, if any, applies only to amounts paid for work that has not yet started.

Partial Completion

If a project is cancelled mid-milestone, we will assess the work completed up to that point. You are responsible for the value of that work, and any remaining prepaid balance for unstarted work may be eligible for a refund.

Deposits & Retainers

Project Deposits

Upfront deposits secure your project slot and cover initial planning and resource allocation. Deposits are non-refundable once work has begun, as they reserve our team's time and capacity.

Monthly Retainers

Retainer and subscription-based services are billed in advance for each period. Payments for the current billing period are non-refundable, but you may cancel future periods in accordance with the cancellation terms below.

Digital Marketing & Ad Spend

Advertising Budgets

Advertising spend paid to platforms such as Google, Meta, or other ad networks is paid directly to those platforms on your behalf and is non-refundable once the campaigns have run.

Management Fees & Performance

Management and service fees cover the strategy, setup, and ongoing optimization of campaigns. Because results depend on many external factors, fees are not contingent on specific performance outcomes and are non-refundable for work already performed.

Maintenance & Support Plans

Recurring Plans

Maintenance, hosting, and support plans are billed for a fixed period in advance. The current period is non-refundable, but you may cancel renewal of future periods before the next billing date.

Unused Time

Plans provide access to support and maintenance capacity throughout the period. Unused hours or allowances within a billing period do not roll over and are not refundable unless your agreement states otherwise.

Cancellation Policy

Cancelling a Project

You may request to cancel a project at any time by notifying us in writing. Upon cancellation, you are responsible for payment of all work completed up to the cancellation date. Any remaining balance after accounting for completed work may be eligible for a refund.

Recurring Services

For recurring or subscription services, cancellation must be requested before the next billing cycle to avoid being charged for the upcoming period. Services remain active until the end of the current paid period.

How to Request

To request a refund, contact us at info@octopi-digital.com with your name, project details, payment information, and the reason for your request. Our team will review your request and respond within a reasonable timeframe.

Processing Time

Approved refunds are processed to the original payment method within 7–14 business days. The time it takes for funds to appear in your account may vary depending on your payment provider.

Chargebacks & Payment Disputes

Talk to Us First

If you believe a charge is incorrect, please contact us before initiating a chargeback with your bank or card provider. Most issues can be resolved quickly and directly.

Disputed Charges

Initiating a chargeback for services that have been delivered, or while a refund request is under review, may result in suspension of active services until the dispute is resolved.
