Role Overview
I am seeking a highly organized Chief of Staff / Program Manager to work directly with me to help coordinate and execute several digital initiatives currently under development.
The development team at Octopi Digital is highly capable technically. As the number of projects and initiatives grows, this role will help provide additional structure, organization, and coordination to ensure projects progress efficiently and in alignment with the strategic direction I provide.
This position functions as an operational extension of my role — helping translate priorities into organized plans, tracking progress, and supporting the execution of projects across several initiatives.
The goal is to ensure that multiple projects can be developed and launched efficiently while maintaining clear communication, timelines, and quality standards.
This role is intended to support coordination and execution across projects and teams, not to replace anyone’s existing responsibilities or technical expertise.
Primary Responsibilities
Project Coordination and Execution
• Organize project timelines, deliverables, and development milestones
• Coordinate communication between myself and the Octopi Digital team
• Help ensure project priorities and deadlines are clearly tracked
• Support efficient execution of development and marketing initiatives
• Monitor progress across projects and identify potential bottlenecks early
Platform Development Coordination
The role will help coordinate development and launch efforts for several initiatives, including:
• OPSROI.com
• TAINC.org
• SaveTrees.com
• TreeEmergency.com
• Supporting initiatives related to Monkeyman’s Tree Service
Marketing and Growth Coordination
As platforms are completed, this role will also help coordinate initiatives related to:
• marketing campaigns
• CRM systems and client intake processes
• email marketing campaigns
• social media initiatives
• PPC advertising campaigns
• sales pipeline and lead management systems
Operational Coordination Across Teams
In addition to coordinating development and marketing initiatives, this role may support operational initiatives across the broader group of companies and projects I am developing.
This may include helping coordinate projects and workflows involving team members or contractors located in the United States, the Philippines, Bangladesh, and other regions.
Responsibilities may include:
• Coordinating tasks and timelines across distributed teams
• Supporting communication between teams working in different time zones
• Helping organize workflows related to sales, marketing, client intake, and customer service
• Assisting in tracking progress across multiple initiatives and teams
• Helping identify when additional staffing or resources may be required
The purpose is to ensure initiatives across multiple platforms remain organized, aligned, and moving forward efficiently.
Operational Development Support
Over time, this role may also assist with:
• helping structure internal workflows and systems
• coordinating additional contractors or team members as projects grow
• helping ensure strong client success and customer service systems
• supporting the operational development of subscription-based platforms and services
Ideal Candidate Background
The ideal candidate will have experience in:
• project or program management for digital products
• coordinating developers, designers, and marketing teams
• digital marketing systems and workflows
• CRM platforms and marketing automation tools
A working understanding of web development, APIs, coding, or technical product development is a strong advantage but not required.
Experience with AI tools, automation platforms, and digital marketing systems is highly desirable.
